At Opportunity Solutions we believe that electronic mail is not a personal and private tool; the emails in the mailboxes do not belong to the individual recipient. All emails from or to a corporate mailbox is corporate property, and should be treated as such. In essence, the proper storage area for an email is one or more a central filing services, not a mailbox.
At Opportunity Solutions we believe that the services offered by the well-known manual central mail processing facility are valid, even for electronic mails, and that these services should be re-introduced. We have developed a patented technology, which will allow corporate businesses to control the information flow, without introducing the added cost of introducing a manual central mail processing facility.
In depth:
Typically, letters arrive at a central processing unit where it is registered, filed, sorted and eventually distributed to the intended recipient. Emails, on the other hand, do not pass any processing unit; it travels from sender to receiver - uninterrupted. Emails will not be registered and filed, and the ability to "red flag" an email, and redirect it to a different recipient is lost. We believe that this functionality is too meager for the business world. What really is needed is an email server, which offers the same facilities as the old-fashioned central mail processing facility, where instructions like these are possible:
"Please file all mail from Contoso Inc. so all of the sales team can access it!"
"Whenever Peterson or his lawyer sends a letter I would like to receive a copy!"
"Please give me all the correspondence with Peterson, related to the Contoso account!"
"Please ensure that everything related to the Contoso merger is kept confidential!"
We believe that a lot of similarities exist between traditional mail and emails, e.g. some will contain confidential information, which should be available to only a select few, some should be shared in teams, regardless of who the actual recipient is.
We have devised a method to access the flow of emails without changing the configuration of the email servers, and direct a copy of that flow into a central electronic mail processing facility - termed Email-Manager™. Thus no change is required in the configuration of the mail servers, and the users will receive their emails and be able to send their emails in the same fashion they have always been used to. This way, the dialogue will - automatically - be made available, to replacements, assistants on a need basis.
We recognize the need for some information to be kept restricted and confidential, e.g. only a small team will be aware of a merger taking place, until such time, as the deal has been completed. In some companies the existence of a customer must be kept secret, and has to be restricted to the staff handling that account, in other companies, only the immediate superior to an employee is allowed to know, in detail, what that employee is working on. The need for confidentiality is universal, but the actual implementations and rules differ widely between organizations. It is essential that emails, and applications supporting emails, can deliver on the requirements of confidentiality.
With the central Email-Manager™ storage, new and improved capabilities, like the above, suddenly become a reality. The search and presentation facilities of the Email-Manager™ database have been designed in such a way as to make integration into already existing applications a viable option. Initially, Email-Manager™ comes out of the box with integration into Microsoft CRM and SharePoint, but other platforms like, Outlook, Microsoft Business Solutions-Ax are planned as well. Email-Manager™ is built upon a Service Oriented Application philosophy. This philosophy enables other applications to access the services offered by Email-Manager™. Consequently, if Email-Manager™ does not come - out of the box - with support for a specific application that support can - in all likelihood - be implemented with very little effort.
